Our failure logs pushed us to the same conclusion. So we built warm transfer around multiple triggers, not just one: repeat/rephrase stuck loops, explicit \"talk to a human\" requests, and a few other dead-end patterns all warm-transfer instead of letting the call die.\n\nOur top failure was new patient name capture. The AI couldn't get the spelling right, the back-and-forth dragged on, and the caller gave up — 112 of \\~380 logged failures were this kind of mid-call disengagement. Much worse in Spanish; we have a large Spanish-speaking patient base and Spanish name spelling broke constantly.\n\nThe other big one was proxy booking. We're a Denti-Cal office with lots of elderly patients, so family members call to book for someone else — and the AI kept confusing the caller with the patient. It never established who the appointment was actually for.\n\nWe've implemented fixes for all of the above, including one caller booking for multiple other people in a single call — verified working.\n\nIf you wanna know more, please DM me.","can_gild":false,"can_mod_post":false,"collapsed":false,"collapsed_because_crowd_control":null,"collapsed_reason":null,"collapsed_reason_code":null,"comment_type":null,"controversiality":0,"created":1790441918,"created_utc":1790441918,"distinguished":null,"downs":0,"edited":false,"gilded":0,"gildings":{},"id":"pc7ap4s","is_submitter":true,"likes":null,"link_author":"Upbeat_Youth4903","link_id":"t3_1wpoxci","link_permalink":"https://www.reddit.com/r/Dentists/comments/1wpoxci/honest_experience_with_an_ai_receptionist_i_read/","link_title":"Honest experience with an AI receptionist: I read every failed call from 15 months","link_url":"https://www.reddit.com/r/Dentists/comments/1wpoxci/honest_experience_with_an_ai_receptionist_i_read/","locked":false,"mod_note":null,"mod_reason_by":null,"mod_reason_title":null,"mod_reports":[],"name":"t1_pc7ap4s","no_follow":true,"num_comments":2,"num_reports":null,"over_18":false,"parent_id":"t1_pc4gfqk","permalink":"/r/Dentists/comments/1wpoxci/honest_experience_with_an_ai_receptionist_i_read/pc7ap4s/","profile_img":"https://www.redditstatic.com/avatars/defaults/v2/avatar_default_5.png","profile_over_18":false,"quarantine":false,"removal_reason":null,"replies":"","report_reasons":null,"retrieved_on":1790441934,"saved":false,"score":1,"score_hidden":false,"send_replies":true,"stickied":false,"subreddit":"Dentists","subreddit_id":"t5_2sx33","subreddit_name_prefixed":"r/Dentists","subreddit_type":"public","top_awarded_type":null,"total_awards_received":0,"treatment_tags":[],"unrepliable_reason":null,"ups":1,"user_reports":[]},{"_meta":{"retrieved_2nd_on":1790533764},"all_awardings":[],"approved_at_utc":null,"approved_by":null,"archived":false,"associated_award":null,"author":"Aggressive_Panda1996","author_flair_background_color":null,"author_flair_css_class":null,"author_flair_richtext":[],"author_flair_template_id":null,"author_flair_text":null,"author_flair_text_color":null,"author_flair_type":"text","author_fullname":"t2_1wxcekow56","author_is_blocked":false,"author_patreon_flair":false,"author_premium":false,"awarders":[],"banned_at_utc":null,"banned_by":null,"body":"This is the most useful kind of post. Everyone shares the wins, nobody shares the failure logs. Building in this space, the pattern I keep seeing: most failed calls are not voice quality problems. They are the AI not knowing when to stop and hand over. A caller repeating themselves twice is the signal. If the system does not catch that and bring in a human, the call is already lost.
